Reporting to the Facilities Manager, provides administrative and clerical assistance pertaining to Facilities Maintenance, as listed below, and performs other duties as assigned by the supervisor.
- Prepare purchase/service requisitions and orders and coordinate/follow-up with the FMO
- Prepare annual maintenance contracts for various services provided by outsourced companies
- and other vendors.
- Ensure invoices are received in a timely manner, review and process them for payments.
- Assist with preparation and communication of tender notices relating to various projects
- throughout the year.
- Ensure timely delivery of materials ordered by following-up/coordinating with vendors..
- Serve as the Point-of-Contact at the FMO Help Desk as and when needed, including assigning
- and completing work orders on School Dude software and assigning duties to drivers.
- Communicate with the vendors for the disposal of items pertaining to FMO.
- Maintain and update daily attendance of FMO staff.
- Assists in overseeing FMO stores and ensure data in SAP is updated daily and is accurate.
- Assist in overseeing mailroom operations.
- Prepare FMO weekly expenditure sheet .
- Performs other duties as assigned
